Your assistant answers callers using two things: the basic details of your business, and the knowledge you give it. This article shows you where both live and how to keep them current.
Where to find it
Open your Dashboard.
Find the assistant you want to change. Most accounts only have one, but we support multiple assistants.
Select Content.
The Content page has two sections.
Your business: the basics holds the details your assistant uses on every call.
Your knowledge base holds everything else it can look up while talking to a caller.
Your business: the basics
Select the section header to open it. You'll see eight fields:
Business name and Type of business
Website
Locations serviced
Opening hours
Pricing
Services provided
Likely keywords to listen for: names, places or words callers say that the assistant might otherwise mishear. Separate them with commas.
Change anything, then select Save changes. The update reaches your assistant within a minute. If you change your mind before saving, select Discard changes.
Tip: Be explicit. If you're open 9 to 5 on weekdays, say you're closed at the weekend. An assistant with a gap in its information sometimes fills the gap with a guess.
Your knowledge base
Each item in your knowledge base is something your assistant has read: a web page, a file, a video or text you wrote. The list on the left shows every item; select one to see exactly what your assistant reads on the right.
Every item has one of three states:

Reading | We're fetching and tidying it. Nothing is saved yet. |
Not live · needs review | We've read it, but your assistant isn't using it. Check it and save it. |
Live | Saved. Your assistant uses it on every call. |
Nothing reaches your assistant until you save it. Items that need your attention have an amber border, an amber label and an amber banner when you open them.
Add knowledge
Select Add knowledge.
Choose what you're adding: A web page, A file, A YouTube video or Write it yourself.
Enter the address, choose the file, or type your text.
Select the button beside the field.
The new item appears at the top of the list straight away. When we've finished reading it, it opens on the right so you can check it before saving.
A web page
Enter the page address. We read that one page, tidy it into plain text and show you what we found. Cookie notices, privacy policies and terms and conditions are removed automatically; callers never ask about those.
To add several pages at once, choose The whole website and enter the home page address. We look through the site and show you the pages we found, with the ones that usually matter most already ticked. Tick up to 10 and select Read pages. They arrive as one item you can open to see each page.
A file
We can read PDF, Word, PowerPoint and Excel files, text files, and photos of a page (JPG or PNG). Files must be under 12 MB. We take the words out of the file, including tables, then you check them before saving.
A YouTube video
Paste the video link. We read the video's transcript and turn it into notes your assistant can use. The video needs captions, which nearly every video has. The item takes the video's title as its name.
Write it yourself
Type or paste what you want your assistant to know. We save it exactly as you write it. Start a line with # for a heading, or - for a bullet. This is the best option for prices, opening hours, or anything a caller asks often.
Check and save
When an item opens, read What we read. This is the text your assistant will use. Change anything you like in the box, then select Save to my assistant.
Finding Conflicts
We don't want to confuse the assistant by giving it information that conflicts with something it already has, so we run checks against what it already knows.
If a new item says something different from your business details, or from another item that's already live, you'll see a Check these section above the text with one card for each difference. Each card shows the existing answer, where it comes from, and the proposed new answer.
Choose one option on each card:
Use the new answer replaces your business details with what the new item says.
Keep the existing answer leaves your business details as they are. The new item is still saved, so check that its wording won't confuse callers.
Merge both answers adds the new information to what's already there. Available for locations, services and pricing.
Opening hours can only be one or the other. You can't save until every card has a choice. If you update your business details this way, the basics section refreshes and shows an Updated label for a moment so you know it changed.
Keep a web page or video up to date
Open the item and select Retrieve latest. We read the page again and compare it with what your assistant has.
If nothing has changed, you'll see No changes since last time.
If it has changed, the item shows What changed: new lines in green, removed lines in red. Your assistant keeps using the old version until you select Save changes. If you'd rather not take the changes, select Keep the old version.
Items that haven't been checked in six months show May be out of date. They still work; retrieving the latest version clears the label.
Edit an item
Open any live item, change the text in What we read and select Save changes. Until you save, the item shows You've changed this, and your assistant keeps using the previous version.
Remove an item
Open the item and select Remove, then Yes, remove. The item and everything your assistant learned from it are gone straight away. For an item with several pages, Remove all pages removes them together.
Find things quickly
Use the filters above the list: All, Needs review, Web pages, Files, Videos and Text you wrote. Needs review shows a count of items waiting for you. The search box matches titles, addresses and the text itself.
Good to know
One item, one source. Adding a page that's already in your knowledge base shows a message pointing you to the existing item; use Retrieve latest on that instead.
Text formatting inside items is deliberately plain: headings, bullets and tables only. It reads better on a call.
Items in your knowledge base fill in what your business details don't cover. When both speak to the same thing, your business details win, which is why the Check these cards matter.
